Definition
EMS Assistant Project Managers assist team members with performing administrative duties, contributing and supporting the planning and execution of projects, and independently manage many project elements. We are searching for candidates with varying experience in the Energy Management / Building Automation industry.
The assistant project manager’s responsibilities include but are not limited to monitoring project progress, following up with project contacts on the status of project phases, scheduling meetings, and maintaining project documents and reports. To be successful as an assistant project manager, one should be able to perform any tasks assigned by the project manager in an efficient and timely manner. An outstanding assistant project manager should be able to maintain oversight of all project activities, identify any issues, and ensure these are resolved promptly.
Responsibilities
Basic Skills/Responsibilities:
- Communicates with the project team regarding project needs and goals.
- Attends project meetings and keeps minutes, if required.
- Reads and understands project SOW, Submittals, and SOOs.
- Has the ability to compose professional documents and transmittals without assistance.
- Responsible for sending project introduction letters and requesting project information (equipment submittals, schedules, contact info).
- Order all project materials, once approved by the project manager.
- Responsible for project material tracking inbound and outbound.
- Request panel builds and print/deliver panel wire labels.
- Write subcontractor agreements and work orders for each assigned project.
- Assist with project closeout tasks.
- Ensure as-built drawings are completed.
- Create the subcontractor warranty letter.
- Create the LSI project warranty letter.
- Email all closeout documents to the project contact.
Intermediate Skills/Responsibilities:
- Create new project files in the LSI designated application.
- Assist the PM with managing and tracking field technicians’ weekly time allocation accuracy.
- Manage and create project checklist for each project.
- Begin navigating WebCTRL and/or Distech software. Begin understanding basic knowledge of each system and how to operate each in user fashion.
- Assign responsible technicians to tasks in project schedules.
- Modify project schedules based on input from the project manager or personal involvement each project.
- Create and complete initial documents for project financial reviews using the LSI review template.
- Create and deliver project RFIs with PM or Engineering support.
- Manage the project change order log.
- Prepare the project billing forecast and billing documents with project manager input.
- Reach out to project subcontractors for their projected monthly billings.
- Complete the monthly billing forecast module.

- Material procurement (identify staged/delivered/etc.)

- Complete any and all project SOV billing worksheets.
- Reach out to all project contacts that will be receiving an invoice for the month. Discuss LSI’s percent completion and the projected amount invoiced with each of them.
- Input all data into the final billing worksheet. This info is used by our accounting team to create and send out invoices.
- Provide weekly status updates for all projects worked on each week. Send updates to each project contact via email, as required.
Advanced Skills/Responsibilities:
- Perform job walks in the place of the project manager.
- Attend project meetings unassisted.
- Assist the project manager with collection requirements.
- Assist customers with technical support tasks.
- How to change/create a schedule.
- How to create and review trends.
- How to run reports required.
- How to review the system and audit logs.
- Basic system navigation.
- Manage projects directly for the project manager upon request.
- Update project WIP report.
- Compile project RFI’s

Qualifications / Requirements:
- High School graduate or equivalent.
- Degree in business management or a related field preferred, not required.
- Previous construction experience required, preferably as a technician, assistant project management, or similar role.
- Proficiency in Microsoft Office and project management software (we will teach our PM software).
- Highly organized and able to multitask with a strong attention to detail and problem-solving skills.
- Excellent communication skills, both verbal and written.
- Able to work independently and as part of a team.
- Extreme punctuality.
- Professional presentation and appearance.
- In-office / Jobsite position. Not remote.
